Top Trends in Event Planning for 2025

The 2025 event season is already shaping up to be one of bold expression, cutting-edge technology, and a heightened focus on sustainability. To get the inside scoop, we sat down with our event services team and partners to discuss the latest trends we’re seeing at Rogers Centre Ottawa—and how we’re staying ahead of the curve.

Hybrid Events Are Evolving

While the initial boom in hybrid events following the pandemic has leveled off slightly, they remain a staple for large conferences and international gatherings. Cost-saving measures are driving a shift toward AI-driven translation services, reducing the need for on-site interpreters while still providing real-time multilingual support. This technological shift allows us to provide seamless communication across languages, ensuring an inclusive experience for all attendees.

Local First: Supporting Canadian Suppliers

Given the current political and economic climate, there is a growing preference for Canadian-made products and services. At Rogers Centre Ottawa, we prioritize working with local suppliers and artisans, ensuring events reflect the best of what our region has to offer while supporting the local economy. For example, we offer local craft beer from Broadhead Brewery—including their popular blueberry craft beer, a crowd favourite—along with delectable wines from Pelee Island. We also prioritize local suppliers, such as sourcing dairy from Laiterie de l’Outaouais, reducing our carbon footprint while supporting the community. Additionally, by choosing Canadian suppliers whenever possible, we contribute to sustainable local growth and strengthen the regional economy.

Sustainability Takes Center Stage

Sustainability is no longer a trend—it’s an expectation, with 54% of planners recognizing its importance and 60% incorporating it into their RFPs, according to Encore Canada.

At Rogers Centre Ottawa, we’re proud to partner with La Tablée des Chefs, an organization dedicated to reducing food waste and supporting those in need. Through this partnership, surplus food from our events is redistributed to community organizations, including the Ottawa Mission, ensuring that high-quality meals reach those who need them most. Since the program’s relaunch an incredible 124,000 meals have been saved across all participating properties. By diverting excess food from landfills and directing it toward local charities, we are not only minimizing waste but also making a meaningful impact in our community. Our partners, like GES, are leading the charge in eco-friendly exhibits with innovations like Falconboard signage and reusable display materials. Their sustainable practices range from using recycled materials to providing recycling bins for exhibitors. With cost-effective, environmentally conscious designs, GES is helping clients reduce waste while maintaining a high-end presentation, demonstrating a commitment to reducing environmental impact without sacrificing quality.

“The pace of change in the event industry is rapid, and at Rogers Centre Ottawa, we are constantly evolving to meet new demands. From embracing AI-driven solutions to prioritizing sustainability, we are committed to providing innovative, impactful experiences for our clients.”

Mindfulness and Multi-Purpose Spaces

In a fast-paced world, the demand for mindfulness-focused spaces is growing. Planners are incorporating quiet, multi-purpose spaces where attendees can recharge. These areas are ideal for networking, meditation, or simply providing a retreat from the hustle and bustle. Our flexible event spaces cater to this growing need, offering environments that prioritize both productivity and wellness.

Shorter Planning Timelines

Event planning timelines are tighter than ever, and flexibility is key. While we require adequate lead time to ensure a flawless execution, our team is equipped to handle shorter turnarounds without compromising quality or service. Whether it’s a corporate meeting or a large-scale conference, we work efficiently to deliver seamless experiences within your required timeline.

Technology Takes the Stage

One of the most exciting developments for 2025 is the integration of advanced technology. Imagine being greeted by a robot that doubles as an information booth and keynote speaker—yes, it’s happening at one of our conferences this year!

Our technology partner, Encore, is leading the way in AI innovation, using artificial intelligence to streamline logistics, enhance attendee engagement, and automate administrative tasks. From AI-generated content to advanced attendee tracking, these advancements are transforming the event experience.

Big Productions and Bigger Budgets

As budgets rebound, the desire for large-scale, high-impact productions is back in full force. We are seeing increased demand for immersive stage sets, elaborate move-ins, and attention to every detail. Custom LED screens and stage wraps are becoming the new standard, allowing for stunning visual presentations and endless branding opportunities.

Design Trends: Bold and Beautiful

According to our partner LouLou Lounge, bold and vibrant colour palettes will dominate 2025 events. Think deep greens, bright corals, and metallic accents paired with rich textures. Minimalist table settings with personalized touches, such as custom menus and bespoke bud vases, add elegance without overwhelming the senses. LouLou Lounge’s upcycled Felicity furniture line remains a showstopper, proving that sustainability and style go hand in hand.
